Please read these Terms of Service ("Terms") carefully before using the Clinic Front AI service. By accessing or using Clinic Front AI, you agree to be bound by these Terms. If you do not agree to these Terms, do not use the service.
1. About Clinic Front AI
Clinic Front AI is an AI-powered phone receptionist service for dental clinics and private medical practices. The service answers inbound patient phone calls, books and manages appointments directly within the clinic's practice management software (PMS), and sends transactional SMS notifications to patients.
Clinic Front AI is operated by MCAI Consulting, located at 495 Brickell Avenue, Miami, Florida.
2. Parties to These Terms
These Terms govern the relationship between:
- MCAI Consulting — the operator of Clinic Front AI ("we," "us," "our")
- Clinic Customers — dental clinics and medical practices that subscribe to and deploy the Clinic Front AI service ("Clinic" or "Customer")
- Patients — individuals who interact with the AI by calling a Clinic that uses our service
3. Service Description
Clinic Front AI provides the following features:
- 24/7 AI phone answering for inbound patient calls
- Appointment booking, rescheduling, and cancellation via direct PMS integration
- Automated SMS appointment notifications and reminders
- No-show prevention through confirmation messaging
- Cancellation recovery by reaching out to eligible patients
- Automated patient recall and reactivation messaging
- Emergency call detection and live transfer to clinic staff
- Bilingual support in English and Spanish
- A dashboard for clinic staff to review call logs, transcripts, and bookings
4. Customer Responsibilities
Clinics using Clinic Front AI agree to:
- Provide accurate information about clinic hours, services, staff, and scheduling availability
- Keep PMS credentials and integrations current and functional
- Ensure their own HIPAA compliance obligations are met for patient data within their systems
- Not use the service for any unlawful purpose or in violation of applicable regulations
- Notify patients that calls may be answered by an AI receptionist, either through signage, on-hold messaging, or other appropriate disclosure
- Promptly notify us of any unauthorized use or security incidents related to the service
5. SMS Messaging Terms
Clinic Front AI sends SMS messages to patients who provide a mobile phone number during a call and consent to receive appointment-related text messages. SMS messages are strictly transactional — they relate only to the appointment action initiated by the patient during the call.
- Message frequency: 1–3 messages per appointment
- No marketing messages are sent without separate, explicit opt-in consent
- Patients may opt out at any time by replying STOP
- Message and data rates may apply
- Carriers are not liable for delayed or undelivered messages

6. HIPAA Compliance
MCAI Consulting operates Clinic Front AI as a HIPAA-compliant Business Associate for the dental clinics we serve. We implement administrative, technical, and physical safeguards as required by HIPAA. Clinics are responsible for executing a Business Associate Agreement (BAA) with MCAI Consulting prior to handling any Protected Health Information (PHI) through our service. 7. Intellectual Property
All software, algorithms, interfaces, and content comprising the Clinic Front AI service are the exclusive property of MCAI Consulting. Clinics are granted a limited, non-exclusive, non-transferable license to use the service during their active subscription period. No rights are transferred to the Clinic beyond this limited license.
8. Limitation of Liability
TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW, MCAI CONSULTING SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, INCLUDING LOST PROFITS, LOST REVENUE, OR LOSS OF PATIENTS, ARISING OUT OF OR IN CONNECTION WITH THE USE OF CLINIC FRONT AI.
MCAI Consulting's total liability to any Clinic Customer for any claim arising out of or relating to these Terms or the service shall not exceed the total fees paid by that Clinic in the three (3) months preceding the claim.
Clinic Front AI is an AI-powered service and does not replace the clinical judgment of licensed healthcare professionals. MCAI Consulting is not responsible for errors in patient scheduling or missed appointments resulting from inaccurate information provided by the Clinic or by the patient.
9. Disclaimer of Warranties
THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTIES OF ANY KIND, EXPRESS OR IMPLIED. MCAI CONSULTING DOES NOT WARRANT THAT THE SERVICE WILL BE UNINTERRUPTED, ERROR-FREE, OR COMPLETELY SECURE. USE OF THE SERVICE IS AT YOUR OWN RISK.
10. Termination
Either party may terminate the service agreement with written notice as specified in the subscription agreement. Upon termination, clinic data will be retained for 30 days to allow for data export, after which it will be permanently deleted unless a different period is required by law.
11. Governing Law
These Terms are governed by the laws of the State of Florida, without regard to conflict of law provisions. Any disputes arising under these Terms shall be resolved in the courts of Miami-Dade County, Florida.
12. Changes to These Terms
We may update these Terms from time to time. We will notify active Clinic Customers of material changes by email or through the dashboard. Continued use of the service after changes constitutes acceptance of the revised Terms.
